Renting a Party Site? Read This First!

You think you've found the perfect place for that important function. But can they pull it off without a hitch? Eliminate doubts by asking the right questions:

Getting There
Is valet parking available? Is there sufficient regular parking for your crew?

Capacity
Is there room for everyone who's been invited?
Getting Around
Will people need to negotiate steps? (This is an extra consideration if you'll have elderly or handicapped guests.) Is there an additional room where cocktails can be enjoyed? How easy is it to get from drinks to dinner?

Seating Arrangements
How many tables and chairs will you need? Will tables and chairs be provided or do you have to supply them? How many people will fit at each space? How will you decorate? Get measurements.

The Bar
Will the bar be open, per hour, or cash? How many bartenders will you need? Will you have to pay for the bartender(s) or are they included? What types of beer, wine and liquor will be served? Can you bring your own, or do you have to buy it here?

The Menu
Look carefully at packages that are offered. Can you get what you want? Can special needs be accommodated? Carefully compare everything from menu quality to price from facility to facility, and don't forget fine print like tax, tip and extra charges. If the place doesn't cater, make sure you or your caterer have access to the equipment you'll need. This could include kitchen facilities, running water, garbage cans, and clean-up supplies.

Decorating and Entertainment
Some places have their own florists and you're pretty much required to use them. How much time will your decorators and entertainers have to set up and tear down?

Extra Charges
Don't be overly polite on this point - it'll cost ya. Can you lug in whatever you want? Are service people included in the fee? What about security? Are you paying extra for tablecloths or post-event clean up? What happens if guests linger a little too long - are you zapped with charges?

Helping Hands
Lastly, consider how professionally you're treated. Does the facility return your phone calls promptly? Can your contact refer you to local musicians or florists if you need them? Can they provide guests up with maps and directions?
